We are looking for a property manager to manage a capital project involving the replacement of 4 levels of external walkways at a condo building in Cambridge MA.

STUDY & DESIGN PHASE

a. Help the Board to determine the preliminary scope of work based on the problem or need that the building is facing.

b. Assist the Board in identifying the necessary funding that may be required to fund the project i.e. special assessment, increase in monthly fees, arranging for a bank loan, or any combination of the above.

c. Coordinate, meet and interview prequalified Engineers, Architects or Consultants (E/A/C) to obtain a quote for professional services related to the study and design of the project scope.

d. Review and assist with the negotiation of the terms of the agreement with the prospective E/A/C.

e. Facilitate the preparation of a contract with E/A/C.

g. Review specifications, plans, project manual and the bid form as prepared by E/A/C

and provide comments and questions for clarification purposes.

h. Attend any project meetings specifically related to the review of the specifications,

plans, project manual and bid form to finalize and answer all owner questions/concerns before placing project to bid.

BIDDING PHASE

i. Collaborate with the E/A/C and Owner to identify pre-qualified contractors to invite to submit written bids.

j. Assist in preparing and distributing the Invitation to Bid to bidders, if E/A/C is not responsible for this task.

k. Schedule and attend the pre-bid walkthrough and conference at the site with invited bidders and E/A/C.

l. Review and analyze received bids with E/A/C for accuracy.

m. Review bids with Owner and discuss whether bidder interviews are needed as a next

step.

n. If needed, schedule and attend bidder interviews to discuss and review the bid one-

on-one with bidder(s).

CONTRACT PHASE

o. Help the Board of Trustees with selecting a qualified attorney to prepare the necessary contract documents.

p. Work with the Owner's attorney to begin the construction contract preparation and review process.

q. Facilitate the contract review with the Owner and present to Contractor once the Owner is satisfied with contract terms to be presented.

r. Assist the attorney for the Owner in finalizing and tracking any suggested changes by the Contractor.

s. Coordinate contract signing and distribution by all parties.

CONSTRUCTION PHASE

t. Facilitate, prepare and distribute all communications with property residents regarding the start of construction and throughout the project.

u. Attend all periodic construction meetings

v. Review and assist Engineers, Architects or Consultants (E/A/C) construction meeting

notes for accuracy and content.

w. Provide Owner updates regarding overall status of the project.

y. Perform project site visits at least once per week, and more often as needed to help

monitor the project and overall progress.

z. Contact E/A/C with any concerns or potential problems reported or witnessed.

aa. Schedule and attend any special meetings with E/A/C and Owner, if necessary, to

handle any potential or actual problems.

cc. Review Requests for Information (RFI) and follow up with E/A/C to ensure a

response is received.

ee. Review any submitted lien waivers, partial and final, submitted by the Contractor. ff. Submit properly signed and certified Applications for Payment to Owner for review

and approve prior to processing for payment.

CLOSE OUT PHASE

gg. Review punch lists created by E/A/C and track progress.

hh. Request and review Certificate of Substantial Completion as prepared by the E/A/C. ii. Assist the E/A/C in coordinating final inspections.

jj. Review final Application for Payment and confirm all necessary paperwork, per the

contract, has been submitted i.e. Lien Waivers, Warranties, Equipment Manuals,

signed Permit(s), As-Built plans, contract forms and papers all signed, etc. kk. Prepare communication(s) to Owners regarding the project completion.
