Here is the process I would like to follow: Once per month, I would do an export from our CRM system (Pipedrive [login to view URL]) It would be easiest if I could just do an ETD (earliest to date) dump of all relevant data into excel. Similar to Example 1 attached. Then once that data is in excel format, it would be great if somehow I could push a button (or follow several simple steps) that would create comprehensive reports that slice and dice the data in different ways e.g. per sales rep statistics, consolidated stats (average and sum) etc. In order to help you visualize the output I am wanting, please picture a professional sports team. Let’s say a hockey team. They track all individual and team stats and are able to run reports on them with the click of a few buttons. So, at any given time, anyone with access to the internet could see individual player stats such as who is leading a team in goals, assists, games played, penalty minutes etc. You could sort the list by any of those headings. You could also see many consolidated team statistics e.g. average goals per game, % of the time that they score on the power play, there winning % against teams in their division, their wining % on the road vs. at home etc. The massive trove of data that the sports teams/leagues have collected (and continue to collect on an ongoing basis) can be sliced and diced many different ways, both at the individual player level, and also at the consolidated team level. So, for my business, this is what I need both at the Sales Rep level, and on a consolidated team level. Re-cap of the steps I am envisioning. 1. Filter and Export - Scott or one of his team members will run a filter once per month on Pipedrive. This filter will dictate what information is exported onto the excel spreadsheet. It will be the same fields that we are exporting every time e.g. the spreadsheet will always contain “Account Name” first, “Sales Rep” second, “Number of EE’s” third etc. 2. Push Button - Once the spreadsheet is produced, ideally some simple steps are followed (i.e. pushing a button would be awesome) that would segment the data and provide reports. (First we would need to fill in the three columns that need calculating (in the example spreadsheet it would be column’s P, Q and R, don’t think we need anything fancy to do that as it is just an excel formula…) 3. Read awesome reports – So, these could be in formatted excel sheets; pie charts etc. are also great to see. Currently, instead of pushing a button, I am taking the exported spreadsheet from excel (Example 1 attachment) and manually sorting it and then doing calculations so I can transfer the appropriate data over to a Sales Rep Statistics Spreadsheet (Example 2 attachement) So in terms of the manual sorting to get the data I want, I am doing the following: - Sorting by Sales Rep - Next, within that Sales Reps data set, I am sorting by whether or not the account is a client or not - Then I am sorting within that data set, by effective date of the policy.. - Then I am sorting the non-client accounts in order of date the info was received. - Then I am using excel formulas to calculate the totals I need. - Then once I have the totals (e.g. for Sale amount for the rep for that month), I transfer that amount to the Sale Rep Statistic spreadsheet. Then, I have to do that for each column I want to report on and then for each rep… It is a bit of a cumbersome process and hence the need for this project. What would be in the Reports? Here are the different ways that it would be helpful to slice and dice the data: (In other words we would want the following info drawn out and put in a separate formatted spreadsheet) I will attach word doc, out of room on the form.

Hello there, I reviewed the spreadsheets you shared and also the word document outlining the requirements. I have very good understanding of what you are looking for and also how best it could be done. I can create a setup that will take the monthly export from your CRM system, do all the calculations and generate the reports as required on click of a button. It will create very elegant dashboards for your purpose that would show the data sliced and diced as required. Now, the basic set up of doing the calculations and generating basic report like the one you shared in the spreadsheet can be done within your budget but creating the automated dashboard reports for all sales reps etc. would need more effort than your budget.
